Best practices for deleting users from Munis



Description of Issue
  • What is the best practice for deleting users from the system?

  • We have many inactive users that we would like to remove to clean up.



Context
  • User Attributes



Cause

User Attributes record count is too large or full of inactive users.



Resolution
  1. Navigate to the program User Attributes

    • Menu > System Administration > Security > User Attributes

  2. Click Search and locate the account you wish to delete

  3. Click Delete in the toolbar and click Yes, Delete to confirm the deletion



Additional Information
  • If this user is a Workflow Approver you will need to assign an new User ID to shift the workflow items to

    • Both fields User ID for approvals and User ID for alternate approvals must be defined

  • You may also encounter an error stating [Microsoft]sql native client 11.0][sql server] The Delete statement conflicted with the REFERENCE constraint FK_systemLogs_UserAccounts. The conflict occurred in database munprod , table dbo.systemlogs. column UseraccountId – if this occurs, there are system transactions tied to the Userid. You can either Move History to an alternate user and delete the original, or update the record and set the account status to Disabled

  • If there are system transactions tied to a UserId, it cannot be deleted from the system without moving the transaction history to a different user. This is a security measure in place for auditing purposes.
