MA Tax - Generate A Bill File For Escrow Companies

Description of Issue

A billing file is needed for escrow companies including: Transamerica, First American (CoreLogic), Wells Fargo, and Lereta.

Context
  • Bill File
  • Escrow Companies
  • MA Tax
Cause

An escrow company requires a bill file to make payments.

Resolution
  • When creating a bill file in MA, there are three different possible file formats–each is generated a different way. If the file format required by the escrow company is unknown, then the escrow company will need to specify what file format they are expecting.
    • If the escrow company requires an export file of real estate service provider data in a format compatible with Transamerica and First American (CoreLogic) for category 20 real estate bills only, then follow the steps outlined here: Create a Transamerica and First American CoreLogic Compatible Escrow File for Real Estate
    • If the escrow company does not require the Transamerica or First American (CoreLogic) file format and if the municipality typically uses the Massachusetts specific bill print programs, then use either the Preliminary Bill Print or Bill Print program depending on the current tax calendar status.
    • If the escrow company does not require the Transamerica or First American (CoreLogic) file format and if the municipality does not typically uses the Massachusetts specific bill print programs, then use the standard Print Tax Bills/Statements program following the steps outlined here: Print or export tax bills using Print Tax Bills Statements
Additional Information
  • The escrow company will need to specify if they are expecting a scanline. If a scanline is expected, then the format will need to be specified as well. For more information on the available scanline formats, please see: Accounts Receivable Scan Line Format and Check Digit Calculation
