Error - No Employee Accrual Record for Accrual 2 - when adding a pay type in Earnings and Deductions



Description of Issue

I am getting an error trying to add a pay to an employee in the payroll. The school does not use accruals, but the town does and we share pay types.

Context

Resolution

If the Accrual Impact should not exist:

  1. Close out of Earnings and Deductions if currently open for the payroll.
  2. Go to Pay Master. (Human Resources/Payroll>Payroll>Payroll Setup>Pay Master)
  3. Click Search. Define Pay code. Click Accept.
  4. Click Impact Accruals Tab. Click Update.
  5. Select No Impact from the drop down for the Impact on the Accrual Type. Click Accept.
  6. Go back into Earnings and Deductions. 
  7. Search for the Employee. Click Accept. Click on the Pays Tab. Click Add. Define pay type and other necessary fields. Click Accept.
  8. Once the Employee Update step is complete, go back into the Pay Master program and adjust the pay type back to it's original Impact setting.

If the employee needs their Accrual records added:

  1. Go to Employee Accruals (Payroll>Accrual Processing>Employee Accruals)
  2. Click Add. Define employee number. 
  3. TAB down through the fields defining the applicable Type, Table, Accrual date, Start and End date, etc. Click Accept. 
  4. Repeat Steps 2 and 3 for each Accrual Type.

If using Job Based accruals and generated the payroll prior to making Job Class Updates:

  1. Go to Earnings and Deductions. (Human Resources/Payroll>Payroll>Payroll Processing>Payroll Start and Status. Click Earnings and Deductions)
  2. Search for the employee. Click Delete in the menu. Select yes to the delete prompt. 
  3. Click Add. Add the employee/pays back into the payroll. 
Cause
  • The Pay Type was set to Subtract from Accrual Type 2 in Pay Master and the Employee does not earn accruals in Munis.
  • The employee did not have their Employee Accrual records setup yet.
  • Using Job Based accruals and the Job Classes were changed after the payroll was generated.
