Employee count on Quarterly 941 does not match Total Employees count on EDFM Proof for Warrant that crossed the 12th



Description of Issue

The total employees count in the pay period including March 12th on the 941 is lower than the Total Employees count reported on the bottom of the Detail Proof Final Report for the corresponding payroll. Why is that?

Cause

Entities are used and the Location range was not defined for just one.



Resolution

Populate the Location range with the Munis Location codes representing just the entity the report is being processed for. 



Additional Information

The count on the EDFM proof should be a sum of the counts you see for Total Females and Total Males.  Those totals are selecting all employees in the payroll with a Total Gross amount that doesn't equal zero, as well as some Benefits Only scenarios. 

The 941 count is selecting all employees in payroll(s) based on the following criteria: 

  • The Payroll Begin Date is less than or equal to the 12th of the last month in the Quarter (Example: March is the last month in Quarter 1.  If the report is run for Quarter 1, the program selects all employees in payrolls with a Begin Date <= March 12th). 

  • The Payroll End Date is greater than or equal to the 12th of the last month in the Quarter.

  • The Location on the employee's Employee Master record is within the defined ranges.

  • The Org on the employee's Employee Master record is within the defined ranges.

  • The employee received a Check/Direct Deposit (has a record for the Warrant in Manual Check Reconciliation). Â
