How to generate ACA Electronic File for a previous year





Description of Issue
  • I found the files that were generated that year, but the IRS reported that there has been form changes since then

  • We need to send files to the IRS for a previous ACA Reporting year that was never actually submitted



Context
  • Munis

  • Human Capital Management (HCM)

  • Affordable Care Act (ACA)

  • Create 1094/5-B/C Electronic File



Cause
  • Organization is needing to send files for a ACA Report Year that is over two years old currently

  • Original ACA Report was never sent or successfully received by the IRS



Resolution
  1. Navigate to the program Create 1094/5-B/C Electronic File in the Tyler menu

    • Menu > Human Capital Management > Payroll > 1095-B/C Processing > Create 1094/5-B/C Electronic File

  2. Click Define and enter the year you wish to access

  3. Click the appropriate type records, either 1094/1095-B or 1094/1095-C

  4. Click the option Update in the toolbar to edit the record

  5. Check the Previous Year box

    • The Previous Year field is used when the Electronic Filing is more than two years old from the original reporting year

  6. Ensure that the record is appropriately defined

  7. Click the option Generate in the ribbon

  8. Say Yes to all prompts

  9. Store the files in a location that is retrievable and then submit to the IRS' AIRS Production Channel
