Description of Issue

What is the option Include User Defined Fields in import used for in the account import program

Context

Account Import

User Defined Data

Munis Version 2020.3 and higher

Cause

Resolution

The account import has a new option to allow user defined data to be imported when creating new GL accounts.

The User defined data that can be imported is located in the GL User Defined Fields program

Financials > General Ledger Menu > Miscellaneous Set Up > GL User Defined Fields > Search Application Id > Accounts

Additional Information

To generate the import file you would need to add your user defined data to the existing Account Import template

  • Go go Account Import > Click on Create Template to generate the excel file
    • If the Include User defined fields in import is NOT selected
      • After the last column Include in Budget check you can add columns for the user defined data you are looking to import
    • If the Include User defined fields in import is selected then selecting Create Template will include columns for each GL User Defined record automatically
      • Each User defined record will need to be its own column
      • The column name would need to match the Name defined on the GL User defined record
      • The UDF data defined in the import file would need to be the same type and size defined on the GL User Defined record
      • If the Type is Code the UDF code defined in the import file would need to exist as a valid code for the GL user defined record
