Check Advices Sort Sequence in Payroll and Mail Sort Option in Employee Master

Description of Issue

When updating the Check/Advice Sort Sequence in the Run Control Settings, I get a prompt asking if we want to update the Mail Sort in Employee Master. Where does this pull from?

When looking at the Check/Advice Sort Sequence Mail Sort options, they do not look the same as the Mail Sort options in Employee Master, how does that all work and sort when the Checks/Advices are printed?

Cause

Resolution
  • There is a hierarchy of how the checks/advices sort based on the Run Control setting and the Mail Sort option within Employee Master.
  • There can be up to four mail sorts (for example, sort the checks into up to four piles for various methods of delivery).
    • The sorting sequence within each stack is established either at the time of check printing or as a default during the Payroll Control Settings program data setup.

To see what the Check/Advice Sort Sequence is set to for Payroll:

  1. Go to Payroll Control Settings (Payroll>Payroll Setup>Payroll Control Settings)
  2. Click Accept. 
  3. Click Run Control in the toolbar. 
  4. Navigate to the applicable Run Type and note the Check/Advice Sort Seq field. 
    1. The Available Options are as follows. These are hard coded options and cannot be updated or changed.
      1. 1-Mail Sort, Name
      2. 2-Mail Sort, Location, Name
      3. 3-Mail Sort, Org, Name
      4. 4-Mail Sort, Check Loc, Name
      5. 5-Mail Sort, Loc, Org, Name

To see what Mail Sort Option is linked to Employee:

  1. Go to Employee Master (Payroll>Employee Maintenance>Employee Master)
  2. Search for the employee. 
  3. Click the Mail Sort Tab.
    1. This will display all the applicable Payroll Run Types and the corresponding Mail Sort Option for that Run Type for the selected Employee. 
    2. These Mail Codes have four sets of the same Options because they can be printed in four sets of Mail Sorts. 
      1. Mail Sort 1, Name Only
      2. Mail Sort 1, Home Address
      3. Mail Sort 1, Mail Address 1
      4. Mail Sort 1, Mail Address 2
      5. Mail Sort 1, Mail Address 3
      6. Mail Sort 2, Name Only
      7. Mail Sort 2, Home Address
      8. Mail Sort 2, Mail Address 1
      9. Mail Sort 2, Mail Address 2
      10. Mail Sort 2, Mail Address 3
      11. Mail Sort 3, Name Only
      12. Mail Sort 3, Home Address
      13. Mail Sort 3, Mail Address 1
      14. Mail Sort 3, Mail Address 2
      15. Mail Sort 3, Mail Address 3
      16. Mail Sort 4, Name Only
      17. Mail Sort 4, Home Address

Example: 

  • Payroll Run Type 1-Biweekly has a Check/Advice Sort Seq of 2-Mail Sort, Location and Name. 
  • Employee 1234 has a Mail Sort option of, Mail Sort 2, Home Address. 
  • When the Checks/Advices Print in Payroll, They will print by Location first, then Name, then according to the Mail Sort in Employee Master.
  • Employee 1234 would print in the second Mail Sort first by Location, then Name, then Home Address. 
Additional Information

The Check/Advice Mail Sort Options within Run Control are as listed above in EERP Version 2021.12 and higher.

In lower versions, the Run Control options display as they do in Employee Master, which is incorrect. In order to have the correct Check/Advice Sort Seq to default, define the actual number in the control file that should be pulled into the check print using the number from the check print screen. Ignore the Description of the Check/Advice Sort Seq in the control file.Â
