Employee Accrual History Import to Move Records from one Accrual to Another

Description of Issue

The Accrual Hierarchy was not setup correctly on an Accrual Type so used time was not pulled from the correct accrual bucket and I need to do an import to correct the history.

Cause

Accrual Hierarchy was not setup with the correct Accrual Type

Resolution

Do an Employee Accrual History Import to Delete incorrect records:

  1. Go to Employee Accrual History (Human Resources/Payroll>Payroll>Accrual Processing>Employee Accruals. Click History in the Menu.

  2. Click Search. Define fields to include records to be exported/imported in find set. Click Accept.

  3. Click Import in the toobar.

  4. Click Excel  in the toolbar.

  5. Select Export Filter options by checking the selected check boxes.

    1. Minimum required fields are Employee Number, Type, Table, Start Date, End Date, Earned/Used and Earned Reason/Used Reason.

  6. Click Accept.

  7. In the Excel file, add a column with header Record Action and populate with D for Delete. Save file as a .xlsx or .csv.

  8. Go back into Employee Accrual History Import screen.

  9. Click Custom Templates.

  10. Click Add Template.

  11. Enter name and use Browse to select import file.

    1. If file is in .csv format, select Other for delimiter and enter comma (,) in field to the right.

    2. Select Headers options as needed.

  12. Click Save, then close out of the Custom Templates program.

  13. Return to Employee Accrual History Import.

  14. Click Import in the Menu.

  15. Select Template and File.

  16. Click Accept.

  17. Choose Output option and click OK. Review Proof.

  18. Return to Import definition screen. 

  19. Post Records prompt will ask, Would you like to post to Employee Accrual history? Click Yes.

Do a second Import to Add records to correct Accrual Type:

  1. Using the same Excel Import File, update the Accrual Type and Table to correct Type/Table. Update the Action row to A for Add.

  2. Go through the same steps as 8-10 above. 

  3. Post Records Prompt will read Would you like to post to Employee Accrual History? Click Yes. Records will be Added.
