NHRS Report - Import is not deleting Period Records

Description of Issue

I wanted to delete a period record and add a new one using the Import Data feature. After importing my records and generating my submission file, the record I wanted to delete is still pulling in. Why?

Cause

Import will not delete a Period Record it can't find in the import file. Designed this way to allow you to export of a sub-set of records for maintenance and be able to re-import the same set without unintentionally losing data.

Resolution

You can either manually delete the Period Record using the Delete option, or you can delete using the Export/Import functionality in tandem with the Purge option using the following steps:

  1. From the Period Record screen, perform a Search to select all data for the current reporting period.

  2. Select Export Data.

  3. Select Export Data from the Export Options prompt.

  4. On the Period Record screen in EERP, select Purge. This will delete all records that were just exported.

  5. In Excel, delete the necessary rows, make any other desired changes, and Save the file.

  6. Proceed with the Import Data Since the Purge removed all Period Records for the current reporting period, each line in the Excel file is created as a new Period Record.
