Updated Group/BU on Employee Master and Munis created a new set of pay records

Description of Issue

I updated the Group/BU code on the Employee Master record and noticed that Munis generated a new set of pay records with today's date as the effective date, along with the new Group/BU code.

Cause

After updating the Employee Master Group/BU when the Payroll Control Setting for CHANGE GROUP/BU IN PAY is set to Y, Munis will prompt the user with the Update Choices screen, which will default in the current day as the effective date. After clicking accept on this screen, Munis will create a new set of Employee Job/Salary records to match this effective date.

Resolution
  1. Access Employee Job/Salary: Payroll > Employee Maintenance > Employee Job/Salary

  2. Search for the employee, the new effective date and the base pay

  3. Click Delete in the ribbon

Additional Information
  • After updating the Employee Master Group/BU when the Payroll Control Setting for CHANGE GROUP/BU IN PAY is set to Y, Munis will prompt the user with the Update Choices screen, which will default in the current day as the effective date. After clicking accept on this screen, Munis will create a new set of Employee Job/Salary records to match this effective date. If the end user clicks cancel on this screen, the updates will not be made to Employee Job/Salary

  • In Payroll Control Settings: Payroll > Payroll Setup > Payroll Control Settings the EMPLOYEE MASTER UPDATE settings can be set to N if you do not wish to have Munis prompt the change of the master to affect the associated programs like Employee Job/Salary, or Employee Accruals

  • Important to note, if you are not going to allow Munis to update the associated programs for you, the user will want to manually go into Employee Job/Salary, or the listed associated program and make the same update that was made to the Employee Master
