Year End Tax ReadyForms Delivery Definition

How to create a ReadyForms Delivery Definition to use for Year End Tax.

Cause


Resolution
  1. In Enterprise ERP, navigate to: TylerMenu >System Administration > Printer / Device Administration > ReadyForms > Delivery Definitions
  2. Click the Add button to create a new Delivery Definition
  3. Choose the form type from the Document Model dropdown
  4. Enter the name of the Delivery Definition. We recommend defining the year, as a new one will be needed each year, for example 2024 W2
  5. Click Accept in the top ribbon to save the definition
  6. Create the different Steps depending on how the forms will be processed (Print, Email, or Archive) 
    1. Print
      1. Click the Add button from the Steps section (middle left panel) to create a new step for the Delivery Definition
      2. Enter the name of the Step being created, Print under Step Details
      3. Select the template to be used in the step, this will likely be titled similarly to 2024 W2 Print
        1. Be sure only one template is selected per step
      4. Under Actions, select Print and assign the printer to be used from the Printer Name dropdown
      5. Click Accept in the top ribbon to save the step
    2. Email
      1. Click the Add button from the Steps section (middle left panel) to create a new step for the Delivery Definition
      2. Enter the name of the Step being created, Email under Step Details
      3. Select the template to be used for this step, this will likely be titled similarly to 2024 W2 Email
        1. Be sure only one template is selected per step
      4. Under Actions, select Email and them complete the requested fields
        1. Email tokens can be used to enter the data fields into the email subject or body. The Email Tokens button it the first button under the Actions section
      5. Click Accept in the top ribbon to save the step
    3. Archive
      1. Click the Add button from the Steps section (middle left panel) to create a new step for the Delivery Definition
      2. Enter the name of the Step being created, Archive under Step Details
      3. Select the template to be used for this step, this will likely be titled similarly to 2024 W2 Archive
        1. Be sure only one template is selected per step
      4. Under Actions, select the Archive method you would like to use and then complete the required fields.
        1. Archive will archive the forms in TCM
        2. Download will download a copy of the forms to the user's local computer
        3. Save is a PDF copy of the forms that saves to Saved Reports
      5. Click Accept in the top ribbon to save the step

As a note, a new Delivery Definition will need to be created for each tax year. We recommend naming each Delivery Definition with the applicable tax year for ease of use.
