Reporting Gender Identity in PA PIMS Staff Template



Description of Issue

My district has opted to provide the Gender Identity option.  How do I include this data in the EERP/Munis PIMS submission file?

Cause

PA Department of Education added Field 116 - Gender Identity to the PA PIMS Staff Template to identify an individual’s personal conception of oneself.  Added as an optional item in the 2022-2023 school year.  



Resolution

Will be added to EERP/Munis in Versions 2021.4 & higher under (master) work ticket MUN-445248.  Install when available. 

A User Defined Code will need to be created and assigned to any individual wishing to identify as non-binary or not listed (anything that is not strictly male or female).

Setup: 

  1. Create a User Defined Fields Field Code to uniquely identify PA PIMS Gender Identity tracking. 

    1. Open the User Defined Fields program.

    2. From the User Defined Fields screen, select Add.

    3. Enter data as follows:

Description

Field Code

Enter up to 4 characters that will uniquely identify Gender Identity tracking.

Field Label

Enter a meaningful label, such as PIMS GEND.

Description

Enter a meaningful description for this User Defined Field Code, such as PA PIMS Gender Identify

Security Category

Select Employee Master Main from the drop down.

Date Enabled

Leave blank. 

Code Enabled

Leave blank. 

Value Enabled

Click this option to check mark it. 

ExecuTime

Leave blank.

Value Data Type

Select ALNU - Alpha-Numeric from the drop down

d. Select Accept. 

2. Create Employee User Defined Fields records for each applicable emp.

a. Open the Employee User Defined Fields program. 

b. Select Add.

c. Enter the applicable Employee Number.

d. Select the code created in Step 1 from the Field ID Code drop down.

e. Enter X in the Value field. 

f. Select Accept.

3. On the PA PIMS Generate screen, enter the code created in Step 1 in the new Gender Identity User Defined Field option.  


The PA PIMS Generate will report X in Field 116 - Gender Identity for all employees with an Employee User Defined Fields record where the Field ID Code matches the Gender Identity User Defined Field value defined on the Generate screen.
