Using Employee Master Other Dates to track Position or Job changes

Description of Issue

How do we use the “Other Dates” to store our title change dates?

Cause

The Hired date field is not intended to be used to track position or job changes.

Resolution

Record this information in Payroll Date File Maintenance program using a custom date type.  

  1. Create a custom date type in the Miscellaneous Codes program
    1. Open the Miscellaneous Codes program.
    2. Select Miscellaneous Type DATE- User Defined Date Type
    3. Select Add
    4. Enter a meaningful Code value to identify the date type.  Example: TITL
    5. Enter a Short and Long Description to describe the Code.  Example: TITLE CHG/TITLE CHANGE
    6. Select Accept.
    7. Exit the Miscellaneous Codes program.
  2. Link the custom date type in Employee Master
    1. Open the Employee Master program.
    2. Select Search.
    3. Enter the Employee Number that you need to add the information for.
    4. Select Accept.
    5. Select the Dates tab. 
    6. Select the Other Dates folder option in the bottom left-hand corner.  This opens the Payroll Date File Maintenance program. 
    7. A list of dates is presented.  Select Accept.
    8. Select Add. 
    9. Select the code you created in Step 1 from the Date Type drop-down.
    10. Enter the date of the change.
    11. Enter a Comment to provide any additional information desired.
    12. Select Accept.
    13. Select Back.
    14. Exit the Employee Master program. 


Additional Information

Note that this information can be pulled into Excel using the Excel option from the Payroll Date File Maintenance (Other Dates) screen for a single employee.
