Emailing documents through TCM via link or attachment

Description of Issue

How to configure Content Manager to email a file attachment or email a secure link through the Web Viewer or Document Explorer

The TCM viewer can be configured to either send documents as email attachments, wherein the document is exported from TCM and the file attached to an outgoing email, or to email a secure link to allow access to the document via a web browser. This option can be toggled via the checkbox next to the Use link for emailing attachments (disable to send actual attachment) setting within the CM Full Client.

Additional Information

It is important to note that by emailing the document as an attachment, the document is exported from TCM and there is no centralized control over the document from that point forward.

In contrast, by emailing the document via the generated link, there is an adjustable expiration period associated with that link (the default is 30 days), which can be specified via the Number of days before email link expires setting in the CM Viewer settings.

Additionally, should the need arise to revoke access to the linked document, the document’s security can be adjusted within TCM to effectively invalidate the emailed link. The emailed link also eliminates the need for a recipient to have a locally installed viewer available to view the document, as it will display in an HTML5-compatible web browser.
