How to document reason for making a gl account inactive

Description of Issue

Is there a way to document why an account in Account Master was made inactive? 

Sometimes requests are made to reactivate an account, and it would be helpful to know why the account was made inactive in the first place.

Cause


Resolution

Utilize the Account Notes folder in either the Account Master program, or the Account Inquiry program. 


Financials > General Ledger Menu > Set Up/Chart of Accounts > Account Master

  1. Search account
  2. Scroll down and select the Account Notes folder in the Account Description section of the screen 
  3. Type note(s) in text box
  4. Save
  5. Back


Financials > General Ledger Menu > Inquiries and Reports > Account Inquiry

  1. Search account
  2. Select the Account Notes folder located next to the Acct name field 
  3. Type note(s) in text box
  4. Save
  5. Back


While on the Additional Account Notes screen, you can utilize the Stamp Top, or Stamp Bottom options to insert an automatically generated timestamp value.

Note: the Account Audit program report will NOT include updating the Account Notes on an account.
