How to process a History Transfer to change posted GL history to a new account





Description of Issue

We had an allocation change that should have been effective months ago. Is there a way to go back to what posted in payroll and post it to the correct allocation?

Resolution

The History Transfer program can be processed to create a journal entry using the correct GL account or Allocation. 

  1. Go to History Transfer (Payroll>Employee History>History Transfer)

  2. Search for the records that need to be changed.

  3. Click Transfer in the toolbar.

  4. Define the New Account or New Allocation. Click Accept. 

  5. If there are multiple history records in the find set linked to the same Old GL account an Adjust Account Numbers prompt will display asking, Do you wish to assign a new account number to all history records in the active set with the existing account number? 

    1. Click Yes to change all records. Click No to only update the current record.

  6. Click Output-Post in the toolbar. 

  7. Click Define. Enter the GL Effective Date, Reference, Year and Period. Click Accept. Click Execute. 

  8. Review the proof report for accuracy. Prompt will display asking if you want to apply the changes. Click Yes. 

    1. Journal entries will be created and posted with a Source of PRH. 



Additional Information
  • The History Transfer program allows you to change the general ledger account in the earnings history table. When you make changes in this program, they affect the accounts in the deduction history table and a journal entry is created. You can make the account transfer for a single earnings history record or for all history records for the selected employee with the same account and check date.
