Description of Issue
Is it possible to purge prior year Munis journals?
Context

Cause
- Site has limited amount of storage space on server hard drive and backups.
- State and local government rules & laws for data retention have expired.
Resolution
PREREQUISITES Step 1-4:
- Test process in Train or Test database to prove it can be accomplished successfully and with the desired results
- Backup Live Database in case Recovery is needed in result of any unforeseen problems in Live
- Ensure All users are logged out of Munis
- Retain Copies of Records Prior to Purge History Journal Entries Processed
- Browse Munis > Financials > General Ledger Menu > End of Period > Purge History Journal Entries
- Select Define
- Complete the Most Current Fiscal Year YYYYÂ to Purge box (Example: YYYY = 2006)
- It will also delete any unused journal numbers for any fiscal year before the one specified.
- Accept
- The number of records selected displays
- Purge
- Warning! Delete records from the database. Are you sure?
- NO for last chance to cancel purge request
- YEC to complete the purge process
- Deleted record count will display below under selected record count
Additional Information
- Test process in Train or Test database to prove it can be accomplished successfully and with the desired results
- Everything in the year entered and everything before the year entered is selected to purge.
- The year must be at least 2 years prior to the value of the Current Year/Period box in General Ledger Settings.
- Last Year and Next Year purges are not allowed
- The Purge History Journal Entries program deletes posted Journals
