Owners need to be updated on tax bills.
Update Owners for Real Estate:
This is a two step process. First, the Owner on the Current record must be updated with a CAMA import, then the Owner on the Tax Bills must be updated by running Owner Update.Â
Navigate to the Import Real Estate CAMA to Munis program either by searching or via the following path: Property Revenues > Property Tax Billing > Region > State > Assessor Processing and Reports > Import Real Estate CAMA to Munis
Click Define.
Choose your Assessing system and Formatting option.
Click the magnifying glass icon next to Input file field and select the newest CAMA file containing the most current owners from the File Directory.
If the Assessing system also makes use of a Values file and/or Unit/Condo file, then similarly select these files from the File Directory by clicking the magnifying glass icon next to the field and choosing the appropriate file.Â
Choose the proper Jurisdiction code or select Multi jurisdiction if bills are issued for more than one Jurisdiction.Â
If multiple rates and Charge Codes are used (different rates and Charge Codes for Residential, Open, Commercial, and Industrial properties), then select Multi rate and choose the appropriate Residential charge, Open charge, Commercial charge, and Industrial charge.Â
Do not select Create omitted bills.
Select Current in the Update field. It is very important to select Current!Â
NOTE: Sites using Vision Y2K as their assessing package and managing ownership in Vision under Future should choose Future rather than Current.
Check Move current owner names only.Â
Make sure that Move current values and Make parcels inactive are unchecked.
Click Accept.
Click Process.
AÂ Loading... circle will appear.
After loading, a message stating XXXXXX parcel records processed will be provided. Click OK.
Choose Save in the Output window for the report and click OK.Â
If necessary, the report can be retrieved from the Spool: Find Reports Saved to Spool
After the report has saved, click the X in the left-hand corner of the application to close the program.Â
Navigate to the Bill Adjustments program either by searching or via the following path: Property Revenues > Property Tax Billing > Region > State > Collection Processing > Bill Adjustments.
Click Owner Update.
Click Define.Â
Enter the desired Tax year range.
Select Real Estate as the AR category.
Optionally, choose a specific Bill type to update only.Â
Optionally, check the option to Add to selective bill print, which will allow the bills that have had owners updated to specifically be printed. This option is generally not recommended unless a full bill print has already been completed.
Click Accept.
Click Select.
The Selected field will increment up and show the number of bills where the Owner will be updated.Â
Click Process.Â
Choose Save in the Output window for the report and click OK.
After saving the report, a prompt will appear with the number of bills that will be updated. If the information on the report looks correct, click Yes to complete the update.
Update Owners for Personal Property:
This is a two step process. First, the Owner on the Current record must be updated with a CAMA import, then the Owner on the Tax Bills must be updated by running Owner Update.
The Import Personal Property CAMA to Munis program imports into Current or Tax based on the Tax Year Setting Process Status. A Process Status of 0 will cause the program to import into Current, which for this process is desired.Â
Navigate to the Tax Year Settings program either by searching or via the following path: Property Revenues > Property Tax Billing > Region > State > Assessor Setup > Tax Year Settings
Click Search.
Enter the Year, 25 as the AR category, and 0 in the Cycle/Comm field.Â
Click Accept.Â
Verify that the Process Status is 0.
NOTE: If it is not 0, then this indicates that a Personal Property bill run is in progress and the bill run should be finished before proceeding with the import.Â
Navigate to the Import Personal Property CAMA to Munis program either by searching or via the following path: Property Revenues > Property Tax Billing > Region > State > Assessor Processing and Reports > Import Personal Property CAMA to Munis
Click Define.
Choose your Assessing system and Output formatting options.
Click the magnifying glass icon next to Input file field and select the newest CAMA file containing the most current owners from the File Directory.
If the Assessing system also makes use of a second Input file, which is uncommon, then similarly select these files from the File Directory by clicking the magnifying glass icon next to the field and choosing the appropriate file.
Do not select Create omitted bills.
Choose the proper Jurisdiction code or select Multi jurisdiction if bills are issued for more than one Jurisdiction.Â
Do not select Create omitted bills.
Make sure that the Make property inactive, Include omitted charges, and Output one line per page options are not selected.
Click Accept.
Click Process.
AÂ Loading... circle will appear.
After loading, a message stating XXXXXX parcel records processed will be provided. Click Continue.
Choose Save in the Output window for the report and click OK.Â
