User is not receiving emails for expiring permits

Cause




Resolution
  1. Open the User Attributes program. System Administration > Security > User Attributes.

  2. On the toolbar, click Find. Enter the User ID who will be receiving the alerts; click Accept

  3. Verify the Workflow Delivery Method is set for where you want alerts to arrive

  4. Refer to module specific instructions to populate additional information required for alerts (example: Munis employee no. is needed for an Expiring Driver’s License alert to be sent to the employee).

  5. Open the Alert Business Rules program. System Administration > Alert Administration > Alert Business Rules

  6. On the toolbar, click Add.

  7. Enter the alert information for the alert recipient (example: employee with a bus drivers license)

    1. Alert code choose from the drop down box.

    2. Send alert to recipient.

    3. Check box to include others.

    4. Choose days in advance to notify, once action is taken, alerts are cancelled.

  8. Run the Alert Generation Program. System Administration > Alert Administration > Alert Generation

    1. Choose define and when to generate alerts.

    2. Enter Past due threshold

    3. Leave boxes unchecked to generate actual alerts. Checked boxes generates report only. No alerts will be sent.

    4. Uncheck print date to send a message only.

    5. Purge history, leave unchecked to skip purge.

  9. On the toolbar, click Accept. On the left navigation pane, choose Execute to complete the process.

  10. For either option on Execute, a status box is presented when done

  11. A text file is saved to Saved Reports with any non-critical errors that need to be addressed

  12. The “Send alert to” recipient receives notification of the approaching deadline; an email is received if E-mail address is specified, or if the recipient is a Munis Employee number, MSS user ID or Munis user ID without workflow. 



Additional Information

Prerequisites Before you can successfully use this feature, you must ensure that the necessary settings and codes are in place. If settings and codes are not set up, or not set up correctly, you may need to contact your Munis system administrator or department manager to have them updated or added into the Munis system.

  • Access to Roles on the System Administration > Security menu

  • Access to User Attributes on the System Administration > Security menu

  • Access to options on the System Administration > Alert Administration menu

  • Access to My Workflow web part on the Tyler Dashboard (optional)

Results. Date alerts are triggered automatically by the system when a date in a Munis module is found matching the criteria on the business rule.  When this occurs, the business rule recipient receives an e-mail or workflow alert notification of the approaching date deadline.  An alert history record is also created noting the action taken.
