How To Setup Auto Deduct
Description of Issue
Employee is not going to clock in/out for lunch and we need the system to automatically deduct the hours from their timecard.
Context
- ExecuTime
- ET
Cause
Previously have not configured auto deduct in the system.
Resolution
- Navigate to System Admin > Master File Management
- Click the pencil icon for the employee in question > Pay Properties Tab
- Input Auto Deduct Threshold [hh.mm] or [hh:mm] (when does the auto deduct apply to the timecard)
- Input Auto Deduct Time [hh.mm] or [hh:mm] (how much time do you want to take away from the timecard for their lunch)
- Click Save For Current Pay Period
- Navigate to Pay Codes
- Click the pencil icon for the pay code that the employee is using for their clock in/out
- Scroll down to Timecard Settings
- Check the box for Counts Toward Auto Deduction (this will allow the pay code to count towards the auto deduct threshold)
- Check the box for Allows Auto Deduction (this will allow the pay code to split the auto deduction hours from the pay code)
- Click Save
Additional Information
If the employee has multiple pay codes on one day and they aren't using their default clock in/out pay code, and the employee still needs the hours to deduct from lunch, each pay code will need to setup to either count towards the threshold or allow auto deduction to split from the entry.
Example:
- Employee uses a pay code that is not their default clock in/out pay code and they also take Benefit leave code for the day.
- The pay code that is not their default clock in/out is set to count towards auto deduction & allows auto deduction.Â
- Benefit leave pay code counts toward the auto deduction but is not setup to allow auto deduction.
- The auto deduct will only split from the employees not default clock in/out pay code but will count towards the threshold when using the Benefit leave pay code.
