How to use the Special Conditions Notes program

Description of Issue
  • Need to figure out which Special Condition Codes are attached to which records.
  • Can be used to find a specific Special Condition Code/Note and how many records it is attached to OR to find a specific record type, to verify which code(s) are attached to it.

Resolution

To find or search for Special Conditions/Notes:

To search by Code: 

  1. Navigate to: General or Property Revenues > Accounts Receivable > Setup > Special Conditions/Notes
  2. Click Search
  3. Select the Code you wish to find in the Code dropdown
  4. Click Accept
  5. Click Browse to see the number of records returned or use the arrows along the bottom to toggle between the records

To search by Record:

  1. Navigate to: General or Property Revenues > Accounts Receivable > Setup > Special Conditions/Notes
  2. Click Search
  3. In the Attached To section, select the type of record you wish to find: Bill, Customer, Property, Parcel, and/or UB Account (Note: Multiple options can be chosen at the same time.)
  4. Enter the information in correspondence with the options chosen in step 3.
    1. Bill: Bill Category (select from the drop-down menu), Bill Year, Bill number
    2. Customer: Customer Number (select the "Field Help" or "Ellipses" for detailed search), AR Category (Select from the drop-down menu)
    3. Property: Property ID (Enter ID in this field), AR Category (Select from the drop-down menu), Customer Number (Select the "Field Help" or "Ellipses" for detailed search)
    4. Parcel: Parcel ID (Enter ID in this field), Parcel Category (Select from the drop-down menu), Customer Number (Select the "Field Help" or "Ellipses" for detailed search) 
    5. UB Account: UB Account (Enter ID in this field), Customer Number (Select the "Field Help" or "Ellipses" for detailed search)
  5. Click Accept
  6. Click Browse to see the number of records returned or use the arrows along the bottom to toggle between the records

To search all records attached to a Special Condition Note/Code (Note: Depending on the number of records, this search can be quiet costly and take a long time to execute):

  1. Navigate to: General or Property Revenues > Accounts Receivable > Setup > Special Conditions/Notes
  2. Click Search
  3. Click Accept
  4. Click Browse to see the number of records returned or use the arrows along the bottom to toggle between the records
