Cannot deactivate a position with active employees

Description of Issue
  • Site cannot deactivate the Position Control Number because an Employee exists in the position

    • When updating the Status of the Position Control record to Inactive, we receive the error - Cannot deactivate a position with active employees.

Cause

Employee has Employee Job/Salary records for a previous position that have not been closed-out. 

Resolution
  1. Navigate to Employee Job/Salary

    1. Enterprise ERP > Human Capital Management > Human Resources > Employee Job/Pay Classification > Employee Job/Salary

  2. Search on Employee Number and Base Pay

    1. Select the Cycles/Other tab and flag the Base Pay field

  3. Click Accept

  4. Review the base pay records and find the position number to be updated

  5. Click Update and unflag the Primary Job/Position field, then define a Position End Date and Pay End Date

  6. Set the Pay Status to Inactive

  7. Click Accept

    1. You will repeat these steps for each record that has that Position on it

    2. After performing these updates, revisit Position Control to verify the employee is no longer showing in the View Employee folder in the previous position
