Permission to view Unassigned files in spool

Permission to view Unassigned files in spool

Description of Issue

Allow users to access files without having to use the Get Unassigned File option

Context
  • Munis

  • Permissions

  • Spool

  • Saved Reports

Cause

Users would like to access files without using the Get Unassigned File option

Resolution
  1. Using the Tyler Menu, navigate to System Administration > Security > User Attributes

  2. Click Search and enter the Munis user ID for the user needing the permission

  3. Select the role you would like to edit and click Edit Role

  4. Click on the Munis System yellow folder

  5. Click Update

  6. Set Spool file maintenance access to FULL.

Additional Information

Certain programs that create files containing sensitive information/PII will save files to the spool with an Unassigned user (no user is associated with the file). This forces users to use the Get Unassigned File option, which in turn requires the user enter the specific file name which is only known to who created it and who they shared that file name with. This is a security mechanism created to prevent files containing PII from being readily available to anyone who has access to Saved Reports/My Saved Reports.
