Able to override budget without permission on certain accounts

Description of Issue

User can override budget amounts on certain accounts even though they don't have GL permission to Override Budget Amounts. Calculate Available budget for the Org Code is set to Org. 



Context

  • Gen Journal Entry/Proof

  • Budget Transfers and Amendments



Cause

Calculate Available Budget is set to Org for the Org Code in Chart of Accounts Segments



Resolution

If the GL available budget check should be by individual account on the org, the Calculate Available Budget setting can be updated from Org to Account.

Financials > General Ledger Menu > Set Up/Chart of Accounts > Chart of Accounts Segments

  1. Click dropdown and select Organization Code

  2. Accept

  3. Search for the Org Code

  4. Accept

  5. Update

  6. Click the dropdown next to Calculate Available Budget and select Account

  7. Accept




Additional Information

Calculate Available Budget options are as follows for each Org:

  • Account - Available Budget is calculated based on the individual account (this option is used when using budget rollups/sub-rollups

  • Org - The GL available balance will calculate based on the Org Code, which means all expense accounts tied to the org code will be calculated during the budget check

  • None - Any account tied to this Org Code will bypass the GL Available budget check
