Cause

RI Gen. Laws SECTION 44-69-3 requires all political subdivisions to provide the Division of Taxation with a list of all employees as of July 1.  The list of employees must be submitted electronically using an Excel spreadsheet, in the following format:

Use the Employee Inquiry program to export the required employee details to Excel. 

  1. Open the Employee Inquiry program. 
  2. Select Search
  3. Enter selection criteria, such as Status = Active.
  4. Select Accept
  5. Select Yes, Continue to confirm the record set
  6. Select Excel
  7. Select the Full Report Excel Report Option
  8. Click the Select None option
  9. In the Select column, click the box for the following Fields: 
    1. SSN
    2. Last Name
    3. First Name
    4. Address Line 1
    5. Address Line 2
    6. City
    7. State
    8. Zip
  10. Select Accept
  11. Open the Excel file
  12. Highlight Column C (First Name)
  13. Select Cut
  14. Highlight Column B
  15. Right-click and select Insert Cut Cells
  16. Enter Municipality Name in Cell I1
  17. Enter Municipality Federal ID Number in Cell H1
  18. In Cell I2, enter the Municipality Name that you want reported
  19. In Cell H2, enter the Municipality Federal ID Number you want reported
  20. Copy Cells I2 and H2 and paste into all remaining cells for Columns I and H
  21. Save the file
  22. Submit to the Division of Taxation.  Email Tax.Audit@tax.ri.gov for a secure link and instructions to upload the requested information.
