TSDS Staff Payroll - Records missing

Description of Issue
  • I'm only getting one Payroll record. 
  • Payroll Records aren't Generating for this employee
Context

Cause

The Generate will create one Payroll record for each Employee/TSDS account/Payroll Activity combination based on Employee Job/Salary data for non-contracted staff.

Payroll records are created for employees meeting the following criteria:  

  • The employee’s Active Status in the Employee Master must be A – Active or I – Inactive.
  • The Inactive and/or Terminated date on the Dates tab of the Employee Master must be:
    • Blank, OR
    • Greater than or equal to the defined Snapshot Date, OR
    • The Inactive Reason Code is crosswalked to Y in the PEIMSINACIN – PEIMS Inactive Reasons to Include Crosswalk Type.
  • The employee has a Primary Job/Position Base Pay record in Employee Job/Salary that:
    • Was Effective on the defined Fall Snapshot date
    • Has a Job Class code that was NOT defined on Generate as:
      • Excluded
      • A Contracted Job Code

When an employee meets the criteria above, a Payroll record is created for each of the employee’s most recently effective Job/Salary records meeting all of the following criteria:

  • The Position Start is less than or equal to the defined Snapshot date.
  • The Position End is greater than or equal to the defined Snapshot date.
  • The Pay code is crosswalked to a TSDS Payroll Activity (Crosswalk Type PEIMPAYACT). 
  • The Pay code is not defined as Excluded on the Pays tab of the Generate.
  • The Annual Pay and/or Reference field is greater than $0. 
  • The Fund in the EERP GL account(s) is included in the Fund Codes Associated with District range on the Generate
  • The sum of amounts rolling up to a single TSDS Payroll Activity code is greater than $0. 
  • NON Base Pay records must meet the criteria above as well as the following:
    • Pay Start is less than or equal to the defined Snapshot date.
    • Pay End is greater than or equal to the defined Snapshot date.
Resolution

Review each bullet above for one example employee you are expecting to see a Payroll Period Record created for. 

In particular, make sure your Contracted Job Code range on the Generate screen is either blank to blank, if you don't have any Contracted Instructional Staff, or it only includes the Job Class codes you use for your Contracted Instructional Staff.
