Simultaneous use of Employee Access and Employee Self Service

Description of Issue

Is it possible to run Employee Access for Open Enrollment and use ESS for all other functions?

Cause

Informational.

Resolution

It is not recommended to run both Employee Access (EA) and Employee Self Service (ESS) simultaneously.

  • Enabling EA in production, while continuing to use ESS, will cause several things to no longer function properly in ESS.

  • For clients currently live on ESS, this setting should only be enabled in their non-production environments. It should only be enabled in production when the client is ready to transition to EA, and should be disabled if they are still using ESS.

  • For clients that are not live on ESS, there is no harm in enabling this option in all production and non-production environments.

How to enable Employee Access -

  1. Navigate to System Settings

    1. EERP > System Administration > General Administration > System Settings

  2. Click the Site Settings menu option

  3. Navigate to the Application Integration tab

  4. Select Update

  5. Select the checkbox for Tyler Employee Access is enabled

  6. Select Accept

  7. Click Save to finalize this update

Enabling Employee Access in Site Settings will do the following -

  • used to hide/display the PIN migration fields and labels

  • used to populate a hyperlink in the questionnaire email

Pending Applicants:

  • used to populate a hyperlink in the questionnaire email

  • used to populate a hyperlink to job listings in the generate email functionality

  • used to populate a hyperlink to job listings in the preview report

Self Service Applications

  • used to hide/display various fields and labels in details view

  • used to set URL values in the application preview

Recruiting Settings

  • used to hide/display various fields

    • Posting start/end date

    • “Enable Inline Configuration on Self Service Application”

Job Openings

  • Used to populate a hyperlink to job listings in the generate emails

  • Used to populate a hyperlink to job listings in the preview report

ESS/EA

  • Used to set the from address in the email notification to HR when job is submitted

  • Used to populate hyperlink in reference questionnaire emails

Personnel Action Entry

  • Used to populate hyperlinks in survey emails

Tasks

  • Used to determine which database tables to search for documents

Candidate Analysis Tool

  • Used to populate hyperlink in email to applicants

Employee Evaluations

  • Used to populate a hyperlink in emails sent to employee/evaluator/supervisor of an evaluation

Benefits Enrollment

  • Used to determine how to fetch and store dependent/beneficiary data

  • Used to enable/disable attachment functionality in enrollment choices program

Action Entry Templates

  • Used to populate the template type code combo box with the correct description

Employee Accruals / accrual workflow

  • Used to populate hyperlinks in workflow emails
