Adjust ESS to accommodate for 2020 W-4 changes



Description of Issue

How to turn on 2020 W-4 functionality for employees making changes in Employee Self Service (ESS)

When someone update the W-4 info through Enterprise ERP, it does not automatically check the 2020 or Later W4 or the Step 2 Checkbox



Context
  • ESS

  • W-4 Changes



Cause
  • W-4 ESS Settings not configured appropriately

  • Deduction and Benefit Master not configured appropriately

  • In order for the updated W-4 information to show the 2020 or later W-4 flag needs to be enabled in the Deduction Master for the Federal tax deduction(s)



Resolution
  • W-4 ESS Settings not configured appropriately 

    1. Access Munis > Payroll > Payroll Setup > Income Tax Setup > W-4 ESS Settings

    2. Find Federal W-4 template, likely State Code - XX

    3. Update and check 2020 or later W-4

    4. Add values to Priority of necessary fields to turn them on, similar to what is on the Marital Status/Optional Fields tabs

    5. Click Accept

  • Deduction and Benefit Master not configured appropriately 

    1. Access Munis > Payroll > Payroll Setup > Deduction and Benefit Master

    2. Find Deduction Code 3000 - Federal Income Tax

    3. Update, then check 2020 or later W-4

    4. Click Accept



Additional Information

As of January 1st 2020, all Federal W-4 forms/changes must contain newly created fields. If no records exist in W-4 ESS Settings, the out of the box configuration can be used by turning on the 2020 setting in Deduction and Benefit Master.
