Time Entry Import Munis version 11.3 and lower



Description of Issue

How can I pull in holiday hours for all full time employees into Time Entry who have not processed them in their timesheets?

Context

Resolution

Once the Excel file created for the Import has been saved as a .CSV file:

  1. Go to Form Definitions. (System Administration>Printer/Device Administration>Form Definitions)
  2. Click Search. In the Process field, define prtimatt. In the Type field, click the drop down arrow and choose N-Master. Click Accept. 
  3. Click Duplicate in the toolbar. Define a Name and Description for this Form Definition. Click Accept. 
  4. Confirm Copy Prompt will ask, Proceed with Copy? Click Yes. 
  5. Click Update. Hit the TAB key to the first Field Name/Text. Click the ellipses.
    1.  To select the first column field on excel file, double click the correct option. Hit TAB, leave the Sz field alone, the Ln column should reference 1 and the Col should be 1. 
    2. Hit TAB until the second line and click the ellipses again to select the next column Field Name from Import file. Hit TAB, leave the Sz field alone, the Ln column should reference 1 and the Col should be 2 this time.
    3. Repeat Step 5 until all fields in import file are in the Form Definition in the correct order. 
  6. Go to Time Entry. (Human Resources/Payroll>Payroll>Payroll Processing>Time Entry Processing>Time Entry)
  7. Payroll Process prompt will display. Confirm correct payroll is active. Click Yes. 
  8. Click Import in the menu. 
  9. Click on the Browse Icon next to the File field. File Upload prompt will display. To select the CSV import file, click Choose File. 
  10. Once file has been selected, click OK. Hit the TAB key to the Form field. Click the drop down arrow to select Form Definition that was just created. 
  11. Hit the TAB key, confirm the delimiter is a , (comma) and the Date Format is MM/DD/YYYY (which should also be the format in the import file)

  13. Click Accept. Define the Batch information. Click Accept. 
  14. The bottom of the screen will reference Employees loaded: X number
  15. Click Resume in the Menu. Chose viewing option. Click Ok to view all employees imported into the batch. 
  16. You can then verify or release batch for approval and move into Payroll as you normally would.
