How to assign Time and Attendance RFID cards to Employees



Description of Issue

We have completed the process to validate the RDIF card compatibility with Timeclocks and should be ready to start card enrollment. How do we complete this process?

Cause

 Site had pre-loaded cards with IDs so the Badge ID in ExecuTIme needed to be loaded with the card numbers. 



Resolution
  1. Log into ExecuTime with Admin credentials. 

  2. Click System Admin. Click Master File Management. Click Employees tab.

  3. Locate an employee to assign the first RFID card to and click the edit pencil icon next to the employee's name. 

  4. Click the Security Tab. Define the number on the card itself into the Badge ID field. Click Save. 

  5. Repeat steps 3 and 4 for each employee. 

  6. Once finished assigning the Badge IDs, click Scheduled System Jobs.

  7. Run either the Clock Configuration Job or Timeclock Configuration Job depending on where the clocks are defined or let the Job run overnight on it's own. 

    1. If unsure which job to run:

      1. From within System Admin, click Device Management and/or Timeclock Management.

      2. If the clocks are listed under Device Management run the Clock Config Job. If they are listed using Timeclock Management run the Timeclock Config Job.

      3. To manually run the Job, click the Run square icon with the arrow through it. 

    2. It can take 15-20 minutes from the time the Job runs to the time the Card info is pushed to the time clock. 

      1. Note - The Job showing complete is not an indicator it's finished, it could still be processing in the background. 



Additional Information
  • There are a few types of RFID cards. 

    • Pre Loaded cards, which have the number on the card and that number needs to be assigned to the Badge ID in ExecuTime.

    • Flashed cards, which can update to whatever codes needed. 

    • Internally created cards, which for example, can assign the Employee ID to the Badge ID.

  • The Clock Polling Job in Scheduled System Jobs is for legacy devices that are not used.
