Use the following steps to import the returned VRW file from the DMV,
Navigate to Property Revenues > Property Tax Billing > South > Virginia > Motor Vehicle Processing > Vehicle Registration Withholding > VRW Import.
Click Define.
Enter in your Tax year.
Please note that the tax year defined in this field will be used to select which tax bill the DMV Stop Fee gets applied to. If a prior tax year bill is delinquent while the current tax year bill is paid, and the current tax year is defined in this field, the DMV Stop Fee will be applied to the current tax year bill.
From the dropdown menu for File type, select E - Extranet.
S - Standard is no longer used by the DMV.
Select your returned VRW reject file in the Import file name field.
The DMV now provides a reject file and a file of all results. Only the reject file is needed for the import.
Enter in your VRW special condition (use the field help to select it from a list of available special conditions).
Enter in your VRW charge code (use the field help to select it from a list of available charge codes).
The VRW charge amount will populate automatically from the charge code selected.
Click Accept.
Click Import. The number of records imported will show in the lower left.
Click Process Rejects. A message will pop up saying "If you have applied fees via the VRW export, you should not use this option. Do you wish to continue?"
Click Yes if you did not apply fees via the VRW export. The number of records processed for rejection will show in the lower left.
Click Process Approvals. A message will pop up saying "If you have applied fees via the VRW export, you should not use this option. Do you wish to continue?"
Click Yes if you did not apply fees via the VRW export. The number of records processed for approvals will show in the lower left.
The Excel option in the ribbon can be used to generate an Excel report on the records rejected and the records approved.
The number for Approved records will include any remaining records in Enterprise ERP that were not processed as rejects. This number may be higher than what is in the import file.
