What needs to be populated in TN TCRS Maintenance

There is a menu option called TN TCRS Maintenance that contains an employee specific record with TCRS values that are unclear.

Resolution

A Maintenance record is only required for schools, in order to record the Contract Months to report to TCRS.  All other fields are optional, based on setup and processing preferences described below. 

Populate the fields based on the details below: 

  • Retirement Deduction: Enter the TCRS deduction code. The help option will provide a list of deductions currently attached to the employee in Employee Deductions.  This field is not used by another EERP program, but must be populated in order to access any of the other Retirement fields.

  • Retirement Department: Enter the TCRS Employer Code.  The TCRS Report program will use this value if the Use Retirement Department on TN Retirement as Employer Code option is selected on the TCRS Generate screen.  Otherwise, the Employer Code defined on the TCRS Generate screen is used. 

  • Retirement Type Code: Enter the 1st 3 characters of the employee's TCRS Contribution Group.  The help option provides the list of acceptable values from Miscellaneous Code Type TNRC.  The folder option allows you to maintain the TNRC Miscellaneous Code Types.  The TCRS Report program will use this value if it's populated.  Otherwise, the 1st 3 characters of the TCRS Contribution Group Generates from Employee User Defined Fields, or from the TNC Crosswalk Type, which allows you to crosswalk Employee Master Group/BU values to the 1st 3 characters of the TCRS Contribution Group. 

  • Retirement Service Credits: Enter the Service Credit default.  The TCRS Report will use this value for Full Time employees (only), if populated.  Otherwise, it will look for Employee User Defined Field records. 

  • Retirement Contract Months: Enter the number of contracted months for a school board employee (9, 10, 11, or 12).  This value should not be populated for non-school employees.  The TCRS will use this value if it's populated.  Otherwise, Contract Months is reported as 0.

  • State Unemployment Account: Enter the Unemployment Account number the employee should be reported under.  This value is used by the TN Employment Security Report program if the Include non-retirement employees option is not check marked.  Not check marking the option allows you to report only those employees that have a TCRS Maintenance record with a State Unemployment Account value that matches the Unemployment Account defined on the TN Employment Security Report screen.  

  • Default Rate Type: Enter the TCRS Type of Rate of Pay for the employee.  Valid options are 00-Hourly, 01-Monthly, or 02-Annually.  The TCRS Report will use this value if it's populated.  Otherwise, Type of Rate of Pay is based on the Unit of Measure in the Pay Master.Â
