How to automatically migrate users into ESS

Description of Issue
  • How can we automate the creation of ESS User Accounts?
Context
  • Munis version 2017.1+;
  • Employee Self Service (ESS)
  • User Administration
  • Personnel Actions
Cause
  • Site would like users accounts to be created automatically to speed up on boarding
Resolution
  • In order to have ESS User Accounts automatically migrated, setup must be accounted for in Munis and ESS
    • Prerequisite:
      1. You must be on 2019.1 or a higher version of Munis
      2. You must be using Personnel Actions Entry
  1. First you will want to address the Payroll Control Settings
    • Menu → Human Capital Management → Payroll → Payroll Setup → Payroll Control Settings
  2. Navigate to the option ESS USER ID FORMAT
    • You will need to define the format options, you can use any of the following options to create a User ID
      1. [EMPLOYEEID]

      2. [FIRSTNAME]

      3. [LASTNAME]

      4. [MIDDLEINITIAL]

      5. [FIRSTINITIAL]

      6. [LASTINITIAL]

      7. [SSN]

    • We recommend to use Employee ID to make a unique User ID that will not conflict with other potential similar name
  3. Next you will need to navigate to the Edit Default User in ESS under User Administration to assign the default permissions to an employee user account
  4. Login to your ESS with an account that has ADMIN access
  5. Select Home → Administration → User Administration → Edit Default User
  6. Select the hyperlink Employees to open the Employees permissions
  7. Select your choice of default permissions to grant all new users
  • Moving forward all users brought through the program Personnel Actions Entry under the Action Category New Hire or Rehire will automatically be added to ESS
Additional Information
  • Munis will attempt to add a new ESS User Account for any New Hire or Rehire Action Entry process for a user, if a duplicate is found based on Employee ID the system will not create a duplicate record
