Description of Issue

What is needed to re-use old project numbers?

Context

Project Master

Cause

Running out of project numbers and/or have old project numbers that haven't been used in a long time.

Resolution
  • Support recommends not re-using project numbers since there is a possibility of purges not completely removing all historic records associated with old projects.  If old data is not completely removed, calculations could potentially include old project records from history and cause out of balance issues.
  • An alternative is to create new project numbers with a letter at the end of the old project numbers.

For Kentucky Department of Education (KDE) sites only:

KDE no longer recommends deleting project codes.  In 2015, KDE made the decision to stop purging projects/accounts every 10 years. They now use a letter in the fourth position of the project number to denote the fiscal year a grant was awarded or a project began.
