Email Work Orders as a PDF

Description of Issue

Currently is printing out a packet of Work Orders to the meter readers. Would like to know if there is a way to email the Work Orders as a PDF instead.

Cause

Currently working in 2019.1 which limits options, but are able to creating a Report, saving as a PDF and e-mailing the PDF.

Resolution

Navigate to: Property Revenues > Utility Billing > UB Work Order Management > UB Work Order/Print

  1. Select Search

  2. Enter in the information you wish to send. 

    1. May limit Work Orders pulled into report via the date range, those completed, or entering in a single Work Order number if just desiring the one.

  3. Select Accept

  4. A list will be create showing all Work Orders that exist based on the information entered in Search.

    1. If no Work Orders exist that match the Search an error No data available. The "Search" option was not used or it returned no data will appear at the bottom of the screen.

  5. Select Accept or double-click one of the Work Orders in the list to return to the UB Work Order/Print screen.

  6. At the bottom of the page there will be a number and arrow keys, to indicate how many Work Orders were selected.

    1. If desired, click the arrows to view individually or select Browse be brought back to the list of all Work Orders included. 

  7. Select Output

  8. Select Save

  9. Change the "save as Type" to PDF.

    1. If desired, change the name of the Report. 

  10. Select Save.

  11. Select the User Profile in the top right corner of the screen (commonly initials in a colored circle).

  12. Select My Reports

  13. Find the PDF just created. Clicking on the the Date Time column until the arrow points down will organize the Reports by most recently created.

  14. Select the Report

  15. Select Output

  16. Select Download

  17. After this has finished downloading, e-mail this Report as an attachment. This should allow access via e-mail from any PC, tablet or phone the e-mail sends to.
