Prerequisites and Processing the Salary Increase Eligibility Program

Prerequisites:

Before you can successfully use this feature, you must ensure that the necessary parameters and codes are in place. If parameters and codes are not set up, or not set up correctly, you may need to contact your MUNIS System Administrator or Department Manager to have them updated or added into the EERP system.

  • Employees must be attached to Salary Tables in Employee Job/Salary. 

  • Employees must also have a record in Employee Evaluations.  The record must include the Review Type, Review Period, Scheduled Date, Completed Date, Reviewer Number, Needed Score, and Total Score.  Also, the Status must be flagged as Completed.

  • In the Salary Table program, the fields on the Requirements tab must be completed.  (Please note if the, Needed Score, is populated in Employee Evaluations, this will override the Needed Score from the Salary Table Requirements.)

  • Need to have Action Code record(s) setup with Category = S – Salary Change.

  • There must be an active payroll with a check date that is dated up to 2 months beyond the Scheduled Review date in the Employee Evaluation record(s).

Procedure:

Use the following steps to post the Salary Increase Eligibility records.

  1.  Start a new payroll.  Open Payroll > Payroll Processing > Payroll Start/Status. 

  2. For example, start a payroll using Check Date 2/1/2024.

  3. Open Human Resources > Employee Job/Pay Classification > Salary Increase Eligibility.  The user will get a dialog box confirming the active payroll.  If the active payroll is correct, select Yes and continue.

  4. If the check date for the payroll is 2/1/24, the system will search Employee Evaluation records with a Scheduled Date that is 2 months prior to 2/1/24.

  5. If the Total Score >= Needed Score, then the Increase Status will be Approve.

  6. If the Total Score <= Needed Score, then the Increase Status will be Deny.

  7. If the Complete Date is not populated on the Employee Evaluation record, then the Increase Status will be Bypass.

  8. The user may then print the proof from the Output/Post and review.  Or, the user can scroll through the records to review.  Selecting the Bypass, Approve or Deny side menu options will update the Increase Status on the current record. 

    1. The user does not have the option to Add, Update or Delete records from this program.

  9. Once the user is satisfied with the records, the Output/Post can be run and posted.  

Results:

The results of posting of Salary Increase Eligibility records are based on the ‘Increase Status’.  If the Increase Status is Approved, the posting will create a pending Actions Entry record for the salary increase and create a new Employee Evaluation record for the next review period.  If the Increase Status is Deny, a new Employee Evaluation record is created with the next review date and the new score needed.  If the Increase Status is Bypass, nothing happens to the record.
