W-2 WI Electronic File Errors



Description of Issue

I am receiving several errors trying to upload my WI W-2 Electronic File to the state. 

"This record contains unprintable characters"

"Invalid record identifier on the input record"

"Record 1414: State codes required in both positions 3-4 and 274-275 of the RS Record"

"Record 1414: Employer Account Number is invalid. Must be all numbers and cannot contain dashes. It should always begin with 036"

  • Munis
  • W-2 Wizard
  • Create W-2 Electronic File
Cause
  • The CR/LF at End of Record checkbox was not checked. 
  • An employee was missing the state code and employer account number.
Resolution
  1. Go to W-2 Wizard. (Payroll>W-2 and 1099-R Processing>W-2 Wizard)
  2. Click on Step 7. Electronic File in the Menu.
  3. On the Options tab. Click the checkbox for CR/LF at End of Record. 

(This eliminated two errors - "This record contains unprintable characters" and "Invalid record identifier on the input record")

  1. Within the Electronic file .txt file. Click View in the toolbar. Click Status Bar. 
  2. Find the Record (line) number with the error. 
  3. Define the state code in position (column) 3-4 and 274-275. 
  4. Define the Employer number missing on that line. 
  5. Save the file and resubmit. 

(This eliminated the remaining errors and file submitted successfully)
