- In Enterprise ERP, navigate to: TylerMenu >System Administration > Printer / Device Administration > ReadyForms > Delivery Definitions
- Click the Add button to create a new Delivery Definition
- Choose the form type from the Document Model dropdown
- Enter the name of the Delivery Definition. We recommend defining the year, as a new one will be needed each year, for example 2024 W2
- For W2-C (Corrected) there is only one Demo Template which it can be used for any year.
- The W-2C Template does not have the Year hardcoded to it. The tax Year comes via the data file from Enterprise ERP.
- Only one ReadyForms Delivery Definition for this can be created and used for current and previous 5 years.
- RF Delivery Definition example name: W2-Corrected
- Click Accept in the top ribbon to save the definition
- Create the different Steps depending on how the forms will be processed (Print, Email, or Archive)
- Print
- Click the Add button from the Steps section (middle left panel) to create a new step for the Delivery Definition
- Enter the name of the Step being created, Print under Step Details
- Select the template to be used in the step, this will likely be titled similarly to 2024 W2 Print
- Be sure only one template is selected per step
- Under Actions, select Print and assign the printer to be used from the Printer Name dropdown
- Click Accept in the top ribbon to save the step
- Email - 1099s cannot be set to email: 1099 Email Action is grayed out
- Click the Add button from the Steps section (middle left panel) to create a new step for the Delivery Definition
- Enter the name of the Step being created, Email under Step Details
- Select the template to be used for this step, this will likely be titled similarly to 2024 W2 Email
- Be sure only one template is selected per step
- Under Actions, select Email and them complete the requested fields
- Email tokens can be used to enter the data fields into the email subject or body. The Email Tokens button it the first button under the Actions section
- Click Accept in the top ribbon to save the step
- Archive
- Click the Add button from the Steps section (middle left panel) to create a new step for the Delivery Definition
- Enter the name of the Step being created, Archive under Step Details
- Select the template to be used for this step, this will likely be titled similarly to 2024 W2 Archive
- Be sure only one template is selected per step
- Under Actions, select the Archive method you would like to use and then complete the required fields.
- Archive will archive the forms in TCM
- Download will download a copy of the forms to the user's local computer
- Save is a PDF copy of the forms that saves to:
- My Saved Reports
- Local archive to a specific folder/path location in the App server.
- Click Accept in the top ribbon to save the step
As a note, a new Delivery Definition will need to be created for each tax year. We recommend naming each Delivery Definition with the applicable tax year for ease of use. |
